Administration Manager, China
 

This job is based in K Wah, Shanghai

Job Description:
Be in charge of overall office administrative duties. Take the lead in establishing, managing and streamlining necessary administration processes and procedures across Grace offices in China (i.e. Shanghai and other cities). Lead the admin team to ensure the smooth daily operation and a healthy & safe working environment in all the offices.

Job Duties,

  1. Maintain the office facilities, eg. Meeting room, office furniture, access card management, telephone etc.

  2. Develops and directs implementation of company administration policies.

  3. Establishes and controls administrative costs.

  4. Supervise receptionist and other office administrative staff

  5. Provide admin support to PR and HR in their related matters and activities

  6. Be the leader in the office safety to ensure a safe working environment is created

  7. Office supplies and stationary ordering

  8. Manage the courier and mailing service in terms of quality & cost

  9. Company car and parking management

  10. Assist in the visa application and invitation letter management for visitors to China

  11. Supervise office planning and renovation (if necessary)

Job Requirement:

  1. University degree

  2. Minimum 5 years relevant experience from multinational company

  3. Excellent English and local language communication skills

  4. Good interpersonal skills towards both external and internal communications

  5. Strong administrative and planning/organizational skills’

  6. Be very familiar with the practice, procedure and system of the Chinese government

  7. Resourceful, independent, out-going type

  8. Hands on computer experience in Microsoft Word, Excel, Power-point and Access
